    Quick answer

What is Qwilr, and is it worth paying for?

Qwilr is proposal software that publishes each proposal or quote as a web page: you build it in a drag-and-drop editor, add interactive pricing where buyers pick packages and add-ons, and the buyer accepts, e-signs and pays through QwilrPay on the page, while Qwilr shows you who viewed what. It's worth paying for if proposals are part of your brand and you want a faster accept-and-pay step. It's a weaker fit if your buyers expect a PDF or Word contract. On October 14, 2026, Starter cost $35 per user a month billed annually ($49 monthly); Growth ($55, five-user minimum) and Scale ($75, ten-user minimum) are billed annually only. There's no free plan; a 14-day trial needs no card.

    Best for
Agencies and B2B sales teams that send branded proposals and want buyers to accept, sign and pay online.
    Skip it if
Buyers need editable Word or PDF contracts, or you need Salesforce on fewer than 10 seats.
    Strongest capability
Interactive quotes on a web page with e-sign and payment in one step, plus engagement analytics.
    Biggest limitation
Seat minimums on Growth (5) and Scale (10), annual-only billing above Starter, and usage fees for automated documents.
    Current cost
$35 per user a month billed annually ($49 monthly); Growth $55 and Scale $75 per user, annual only.

    The Verdict

Qwilr's idea, proposals as web pages, still sets it apart. Pages can carry video, embeds and interactive quote blocks where buyers choose packages and add-ons, then accept, sign and pay without leaving the page. Starter includes e-signatures, analytics, QwilrPay and HubSpot, Zoho and Pipedrive integrations at $35 per user billed annually, and every plan can connect to AI assistants through its MCP server. The limits appear as you grow. Custom branding and Microsoft Dynamics need Growth (five seats minimum, annual only), Salesforce and the AI Smart Proposal Engine need Scale (ten seats), automated documents cost $2.50 each, and PDFs are snapshots that drop video and animation. Its help center says refunds aren't offered, while its terms allow a possible pro-rata refund on annual plans. We score Qwilr 8.3/10.

    Best for

Sales teams and agencies that want proposals to look like a branded microsite and close with sign-and-pay on the page.

    Skip if

You need traditional editable contracts, small-team Salesforce integration, or month-to-month billing on team plans.

    The Background

    What Is Qwilr?

Qwilr is proposal and quote software from an Australian company that says it was founded in 2014 and has more than 5,000 customers. Instead of producing a document, you build a page from blocks (text, images, video, embeds, quote blocks and acceptance) and send a link; buyers can change quantities and options, accept, e-sign and pay through QwilrPay, which runs on Stripe. Sellers see views and interactions. Plans are priced per user, and AI features include an AI Proposal Creator that turns your website into a template, plus AI Prefill and the Smart Proposal Engine on Scale. An MCP server lets assistants such as Claude and ChatGPT work with Qwilr on every plan.

    The Product

Qwilr Features: What You Actually Get

    Web-page proposals and templates

A drag-and-drop editor builds pages from blocks, with a template library, saved blocks and embeds for Google Docs, Sheets and Slides, PDFs, Typeform, Calendly, maps and video. Qwilr's pricing page lists unlimited pages, a custom domain and badge removal, and security options such as password protection, time and view limits, domain-restricted access and identity verification.

A branding agency sends each prospect a proposal page with its case-study video and a calendar embed to book the kickoff.

    Interactive quotes, e-sign and QwilrPay

Quote blocks support one-off and recurring costs, discounts, currency choice, tiered plans, add-ons and an interactive pricing card. Buyers accept and e-sign on the page and can pay through QwilrPay, which adds a 0.09% application fee on Starter (none on Growth or Scale) on top of Stripe's processing fees.

A SaaS rep sends a quote with three tiers; the buyer picks one, adds onboarding, signs and pays the first invoice on the page.

    Engagement analytics

Qwilr tracks views and interactions and sends notifications, with analytics history of 60 days on Starter, 120 days on Growth and unlimited on Scale. Growth adds enhanced reporting.

An account executive sees the CFO spent time on the pricing block and follows up with an ROI note.

AI, automation and the MCP server

The AI Proposal Creator turns your website into a proposal template; AI Prefill and the Smart Proposal Engine, which builds personalized proposals, are on Scale. Documents created automatically through the API, Zapier, Make or the Smart Proposal Engine use credits at $2.50 each, billed on a separate monthly usage invoice with no spending cap, while pages created manually or from CRM integrations are free. The MCP server is available on every plan.

A RevOps team generates proposals automatically from HubSpot deals through Zapier and watches the monthly usage invoice.

Starter is competitive at $35 per user billed annually, and annual billing saves 29% against $49 monthly. The jumps come with minimums: Growth is at least $3,300 a year (five users at $55) and Scale at least $9,000 a year (ten users at $75), both billed annually up front, and seats can be added mid-term but reduced only at renewal. Automated documents cost $2.50 each with no spending cap; Qwilr's pricing page lists 40, 200 and 600 free documents by plan, while its help center says free credits come only in the first year on Growth or Scale. QwilrPay adds 0.09% on Starter on top of Stripe's fees. On cancelling, the pricing FAQ says you can cancel at any time, but the terms require 5 days' notice on Starter and 30 days on Growth and Scale before the next payment date, and public page links stop working when the account closes.

    Where Qwilr's own pages differ

Refunds: the billing FAQ says refunds aren't offered except where consumer law requires and that annual plans get no refund for unused time, while section 9.15 of the terms says Qwilr may provide a pro-rata refund on annual subscriptions, less reasonable costs.

Free document credits: the pricing page lists free automated documents on every plan, while the credits help article says free credits come only with the first year on Growth or Scale.

Plans and SSO: the pricing page lists Starter, Growth and Scale, while the terms also name Business and Enterprise; the billing FAQ says legacy Business plans move to Starter on or after September 15, 2026. A Qwilr page for RevOps teams claims SAML single sign-on, while the login-security help article lists Google, Microsoft, HubSpot and Salesforce sign-in.

    Before you commit

    PDFs and link-based pages

Qwilr's help center says PDF exports are snapshots in A4 or US Letter that won't always match the web page; dropdowns, videos and animations don't appear, large pages can fail to export, and there's no bulk download. Client PDF downloads are off by default.

Because proposals are links, they stop working when your account closes, so keep signed copies elsewhere.

    The Tradeoffs

    Qwilr Pros and Cons

    What we love

    • Proposals as branded, interactive web pages
    • Buyers can choose options, accept, sign and pay on one page
    • E-sign, analytics, QwilrPay and three CRM integrations on Starter
    • MCP server for AI assistants on every plan
    • Security controls such as passwords and view limits
    • 14-day trial without a card

    What could be better

    • Growth and Scale require 5 and 10 seats and annual billing
    • Custom branding starts on Growth; Salesforce only on Scale
    • $2.50 per automated document with no spending cap
    • PDF exports drop video and interactive elements
    • Page links stop working after you cancel
    • Refund and cancellation wording differs between pages

    The Audience

    Who Should Use Qwilr?

Best for: agencies and creative services

Studios that want the proposal to show their work, with video, embeds and a clean accept step, get the most from Qwilr's page format on Starter.

Best for: SaaS sales teams quoting tiers

Interactive quote blocks with tiers, add-ons and recurring pricing, plus QwilrPay, shorten the step from verbal yes to signed and paid.

Skip if: your buyers need contracts as documents

Legal and procurement teams that redline Word or PDF contracts will prefer PandaDoc or a contract tool plus Docusign.

    The Methodology

    How We Reviewed Qwilr

This is an editorial review, not a documented hands-on test. We didn't use a Qwilr account for this review. It's based on Qwilr's pricing page, homepage, quotes, MCP, integrations, RevOps, jobs and PandaDoc comparison pages, its terms, and help-center articles on billing, cancelling, credits, PDFs, client PDF downloads, login security and embeds, all checked on October 14, 2026. Customer counts are Qwilr's own claims. Where its pages differ, we report both statements. No close-rate or support results are claimed.

Our editorial evaluation considers product information, official documentation, pricing, features and professional experience. It is not a claim of documented hands-on testing.

    In The Wild

    How People Actually Use Qwilr

    A freelance developer

Starter at $35 billed annually covers proposals with interactive quotes and on-page payment. Turn on client PDF downloads if clients ask for a copy.

    A six-person agency

Growth ($55 per user, five-user minimum, $3,960 a year for six) adds custom branding and identity verification. Compare with six Starter seats if branding isn't essential.

    A Salesforce sales team

Salesforce is only on Scale, which needs ten users billed annually ($9,000 a year minimum). Smaller Salesforce teams should compare PandaDoc or Proposify's add-on.

    The Ecosystem

    Qwilr Integrations

Qwilr lists CRM, payment, accounting and automation integrations; the pricing page ties some to specific plans.

    • →HubSpot, Zoho CRM and Pipedrive (Starter and up)
    • →Microsoft Dynamics 365 (Growth and up)
    • →Salesforce (Scale)
    • →Stripe (QwilrPay) and QuickBooks
    • →Slack and Zapier
    • →API and MCP server

Documents created through the API, Zapier or Make use paid credits ($2.50 each). The pricing page doesn't say which plans include Slack or Zapier.

    The Final Word

    Should You Use Qwilr?

    8.3/10 Score

Qwilr makes proposals feel like a polished microsite and shortens the path from yes to signed and paid, with fair entry pricing on Starter. Seat minimums and annual-only billing on team plans, Salesforce only on Scale, usage fees for automated documents and inconsistent refund wording are the trade-offs. We score Qwilr 8.3/10.

You want branded, interactive proposals that buyers can accept, sign and pay online, and your team fits Starter or the Growth minimum.

    No, if
