    Quick answer

What is Workato, and is it worth paying for?

Workato is an enterprise integration platform (iPaaS). Teams build recipes that move data between apps, expose APIs, run data pipelines and, more recently, power AI agents (called genies) and MCP servers that let AI tools act in business systems. It's worth paying for if IT needs governance, environments, on-premise connectivity and data residency across many departments. It's a lot of platform for a small team automating a few apps. Workato now sells two self-service plans: Free, with a one-time grant of 50,000 credits, and Pro, from $75 a month for 2,500 credits, per Workato's docs checked October 13, 2026. Its enterprise editions are quoted by sales and no prices are published.

    Best for
IT and integration teams at midsize and large companies that connect ERP, HR, CRM and on-premise systems and need SSO, audit, environments and regional hosting.
    Skip it if
You're a small team that wants a published price for production use with more than 3 users, or you only need simple app-to-app automations.
    Strongest capability
Breadth under one governance layer: workflows, API management, data orchestration, EDI, document processing, AI agents and MCP servers share one credit pool and one security model.
    Biggest limitation
Pricing clarity: enterprise editions are quote-only, credit conversion rates aren't public, and Workato's pricing card and docs disagree on Pro's starting price.

    The Verdict

Workato covers more ground than most automation tools. One platform handles app workflows, API management, data pipelines, EDI, document processing, AI agents and MCP servers, with environments, on-premise agents and nine data center regions for enterprise accounts. Its compliance list is long: SOC 1 and SOC 2 Type II, ISO 27001, 27701 and 42001, PCI-DSS Level 1 and HIPAA, per its docs. The self-service plans are new and narrow. Free is a one-time 50,000-credit grant that Workato's addendum restricts to non-production use, with assets public by default. Pro runs $75 to $1,275 a month for 2,500 to 50,000 credits, allows up to 3 users per workspace, has no uptime commitment and sits outside HIPAA and PCI scope. Enterprise editions are quoted, and Workato doesn't publish how many credits a task, API call or AI action uses. Its own pages also disagree on Pro's starting price and connector count. We score Workato 8.3/10.

    The Background

    What Is Workato?

Workato (workato.com, Workato, Inc.) sells the Workato ONE platform for enterprise integration and automation. Its building block is the recipe, an integration or automation that can span multiple apps, run inside a workspace. Around that sit API management, data orchestration (ETL, ELT and reverse ETL), B2B and EDI, intelligent document processing, low-code apps, robotic process automation and a data hub. Workato has added Agent Studio for building AI agents it calls genies, Workato GO as a chat interface for employees, and hosted and prebuilt MCP servers. Workato also sells an embedded edition for software companies that want to offer integrations inside their own product. It is mainly sold through annual enterprise contracts, with a newer self-service Free and Pro tier.

    The Product

Workato Features: What You Actually Get

    Recipes and workflow orchestration

Recipes chain triggers and actions across apps, with conditional logic, callable recipes, webhooks and long-running pauses. Workato's limits page lists a 90-minute default job timeout, up to 1,000 steps per recipe, 5,000 recipes and 100 collaborators per workspace, recipe concurrency of 30 (raisable by Customer Success) and webhook intake of 20 events a second with a 9,000-event burst. Usage is billed in credits, with tasks counted per executed action step; skipped and failed steps don't count.

An IT team builds one employee-onboarding recipe that creates the Workday record, provisions Okta, Slack and Google accounts, and opens a ServiceNow ticket for the laptop.

AI agents (genies) and Workato GO

Agent Studio is Workato's registry for building, publishing and governing AI agents, which it calls genies. Each genie has an agent card covering its model, job description, skills and KPIs, and skills can call any Workato connector, a custom API, a data table or an external MCP server. Workato GO is the chat interface for employees and is listed in the Workato ONE edition. Genie conversation data follows a fixed 90-day retention policy, and streaming and API access depend on your plan.

An HR operations team publishes a genie that answers policy questions from the knowledge base and files PTO requests in the HR system through a governed skill.

    Enterprise MCP and API management

Workato can turn API collections, recipe functions and skills into hosted MCP servers with unique, authenticated URLs, and offers prebuilt MCP servers whose tools can be edited, plus Verified User Access so calls run with the end user's own credentials. Admins can set rate limits, usage quotas and IP restrictions. The API platform publishes recipes as REST endpoints, with a 30-second default timeout configurable up to 240 seconds. Workato's MCP docs say MCP is not available in the China data center.

A platform team exposes approved Salesforce and NetSuite actions as an MCP server so employees' AI assistants can look up orders without holding direct API keys.

Data orchestration, EDI and on-premise connectivity

Business MCP and higher editions add data integration (ETL, ELT and reverse ETL), and Enterprise MCP adds data pipelines, event streams and document processing, per the pricing page. On-premise agents (OPAs) connect local apps and databases over REST or SOAP; editions include 3, 10 or 30 OPAs. Add-ons include EDI powered by Orderful, a data hub powered by Reltio, RPA, Private Link and Virtual Private Workato, a dedicated deployment.

A manufacturer syncs orders from an on-premise SQL Server ERP into Snowflake every hour and sends EDI purchase orders to retail partners.

    Governance, environments and security

Workato lists recipe lifecycle management, development, test and production environments, SAML SSO, MFA and role-based access from its Standard edition, and data masking, activity audit and hourly key rotation on Enterprise MCP. Data is encrypted with AES-256, and job history is double-encrypted with a tenant-specific key. Enterprise accounts choose from nine data center regions; self-service accounts run in the US. Job data is kept 30 days on Standard and Business and up to 90 days, configurable, on Enterprise.

A bank's integration team builds in DEV, has QA approve in TEST, deploys to PROD with a rollback history, and keeps all data in the EU data center.

    The Numbers

    Workato Pricing: Every Plan Explained

Workato publishes prices only for its self-service plans. These figures come from Workato's pricing tiers page and its self-service pricing docs, checked October 13, 2026, in USD. Pro is billed monthly by card. Enterprise editions and the embedded edition are quoted, and Workato doesn't publish credit conversion rates for tasks, API calls, rows or AI actions.

    PlanMonthlyAnnualIncluded FeaturesBest For
Workato Free$0$0One-time grant of 50,000 credits (no monthly refill); same core capabilities as Pro per the pricing FAQ; live chat, docs and community support; US hosting. Workato ProBest value$75 to $1,275/moNot listed$75 for 2,500 credits a month, $100 for 3,500, $275 for 10,000, $780 for 30,000 or $1,275 for 50,000; add-on credits; unused credits expire monthly; up to 3 users per workspace; document processing, analytics and custom connectors; no uptime commitment; out of HIPAA and PCI scopeSmall teams running production workflows
Workato Enterprise (Standard, Business MCP, Enterprise MCP, Workato ONE)CustomCustom (annual contract)Platform edition plus a usage plan; unlimited users and workspaces; SSO, environments, platform APIs; 30-day (Standard, Business MCP) or configurable 90-day log retention; 3 to 30 on-premise agents and 1 to 30 concurrency by edition; data center choice; priority support; trial on requestIT-led, multi-department rollouts
Embedded editionCustomCustomIntegrations inside your own software product, single sign-on from your app, featured recipes for your customers, customer insights dashboard, 24x7 supportSoftware companies

Pro's entry price buys 2,500 credits a month, and because Workato doesn't publish how many credits each capability uses, you can't turn that into a task count before you build. Workato's usage docs say workflow tasks are counted per executed action step, so a 10-step recipe that runs fully uses ten tasks per job. Unused Pro credits expire at the end of each billing month. Pro's 3-user cap per workspace and the lack of an uptime commitment make it a team-sized plan; unlimited users, SSO packaging, data center choice and support plans need an enterprise contract. Workato's self-service addendum (last updated June 18, 2026) says Pro fees are non-refundable, renew automatically at Workato's then-current pricing, and that cancellation takes effect at the end of the current term; cancelling in the app moves you to Free. A True Up clause lets Workato charge for or suspend usage above what you bought. The Terms of Service (last updated February 24, 2026) govern enterprise contracts: one-year terms renew automatically unless either side gives 30 days' notice, fees are nonrefundable, invoices are due net 30, late payments accrue up to 1.5% a month, and renewals are at then-current pricing with no stated cap. There is no fixed-length free trial for self-service; Free has no stated time limit, and Workato arranges Enterprise trials through sales.

    Where Workato's own pages differ

Pro starting price: the pricing tiers page shows Pro at "$100/month", and its FAQ says Pro credits start from 2,500 a month. Workato's self-service pricing docs list $75 a month for 2,500 credits and $100 for 3,500 credits. Check the slider at checkout.

Connector count: the integrations page says more than 1,200 pre-built connectors, the enterprise pricing page says 1,200+, the developers page says 1,000+, the pricing tiers page says 10,000+ app and system integrations, and the Agent Studio page says it connects to 12,000+ apps.

Users and collaborators: the enterprise pricing page lists "Unlimited Collaborators" and "Unlimited workspaces and users" for all platform editions, while the platform limits doc sets a default of 100 collaborators per workspace that Enterprise customers can ask to raise. The pricing tiers page caps Pro at up to 3 users per workspace.

SSO and features: the enterprise pricing page lists SAML SSO from the Standard edition, while the pricing tiers FAQ presents SSO as a reason to choose Enterprise over Pro. The same FAQ says Free and Pro offer the same core capabilities, while the Pro card lists document processing, analytics and custom connectors as Pro items.

Free plan wording: the pricing tiers card shows Free at "$0/month" and describes it as for building your first AI workflows. The FAQ says its 50,000 credits are a one-time grant, and the self-service addendum limits Free to trial and evaluation use, with no production use.

    Data and terms

Security, data residency and self-service terms

Workato's compliance docs list PCI-DSS v4.0.1 Level 1, ISO 27001, ISO 27701, ISO 42001, SOC 1 Type II, SOC 2 Type II, SOC 3, HIPAA, IRAP and NIST 800-171A r2. Data is encrypted in transit and at rest with AES-256. Enterprise accounts choose from data centers in the US (AWS US East), EU (AWS EU Central), Japan, Singapore, Australia, Israel, China, Korea and the UK, and data can't be moved between regions later. Free, Pro and Developer Sandbox accounts run in a US data center and can't choose a region.

The self-service addendum narrows that scope. Pro is covered by Workato's security overview, including SOC 2, but is out of scope for HIPAA and PCI-DSS 4.0, and processing payment card data or health information requires an enterprise agreement. Workato's uptime commitments don't apply to self-service, and Free gets no guaranteed support. Recipes and other assets built on Free are public by default, become community assets, and Workato may suspend or delete a Free workspace at any time.

On AI and data use, the Terms of Service say Workato won't use customer data to train or improve models without prior written permission, and may use only aggregated, anonymized usage data. Workato also publishes a Responsible AI Policy and Additional Product Terms that apply to certain features.

    The Tradeoffs

    Workato Pros and Cons

    What we love

    • Workflows, APIs, data pipelines, EDI, AI agents and MCP servers on one platform
    • Long compliance list, including SOC 2 Type II, ISO 27001 and 42001, PCI-DSS and HIPAA
    • Development, test and production environments with rollback
    • On-premise agents for local apps and databases
    • Nine data center regions for enterprise accounts
    • Terms bar training models on customer data without permission

    What could be better

    • Enterprise editions are quote-only, and credit conversion rates aren't public
    • Pro caps workspaces at 3 users and has no uptime commitment
    • Free is non-production, and its assets are public by default
    • Self-service plans are US-hosted and outside HIPAA and PCI scope
    • Fees are non-refundable and renew at then-current pricing
    • Workato's pages disagree on Pro pricing, connector count and user limits

    The Audience

    Who Should Use Workato?

Best for: enterprise IT and integration teams

Teams that connect ERP, HR, finance and on-premise systems across departments get environments, role-based access, audit, on-premise agents and data residency, plus a compliance list that covers SOC, ISO, PCI and HIPAA on enterprise contracts.

Best for: companies rolling out governed AI agents

Organizations that want employees' AI assistants to act in business systems can publish genies and MCP servers with Verified User Access, rate limits and logs, instead of handing out API keys.

Skip if: you're a small team with simple automations

A five-person team moving form leads into a CRM pays for capacity it won't use, hits Pro's 3-user cap, and can't see a task-based price up front. Zapier, Make or n8n publish clearer prices for that job.

    How People Actually Use Workato

A 2,000-person company connecting HR, IT and finance

An Enterprise MCP or Workato ONE contract covers unlimited users, environments, on-premise agents and 90-day configurable retention. Ask sales for credit estimates per recipe, the True Up terms and the renewal cap before signing.

A three-person RevOps team testing Workato

Start on Free to prototype, but rebuild anything you plan to keep on Pro, since Free is non-production and its assets are public by default. Pro at $75 a month gives 2,500 credits; watch the usage dashboard because unused credits expire monthly.

An IT team giving AI assistants access to business systems

Publish approved actions as an MCP server or a genie in Agent Studio, use Verified User Access so each call runs as the employee, and set rate limits and quotas. Confirm MCP availability for your data center first.

    The Ecosystem

    Workato Integrations

Workato's integrations page says it offers more than 1,200 pre-built connectors, though other Workato pages give different counts. Connectors are included on every plan; custom connectors are listed on Pro.

    • →Salesforce, HubSpot and Marketo
    • →Workday, NetSuite and other ERP and HR systems
    • →ServiceNow and Jira for IT service management
    • →Slack and Microsoft Teams
    • →Snowflake and databases via data pipelines
    • →On-premise apps and databases over REST or SOAP via on-premise agents
    • →External MCP servers and Workato's hosted MCP servers
    • →Developer API, Embedded API and Workato CLI

Salesforce, Slack, Workday, NetSuite, ServiceNow and Marketo are the integrations Workato features on its site navigation on October 13, 2026. Plan limits, OPA counts and concurrency vary by edition, and Workato's pricing page notes that plan structures may vary by contract and sign-up date; confirm connector and feature availability with Workato before buying.

    The Final Word

    Should You Use Workato?

    8.3/10 Score

Workato is a strong fit for IT-led organizations that need one governed platform for integration, APIs, data and AI agents, with compliance scope and data residency to match. The new Free and Pro plans make it easier to try, but they are US-hosted, capped at 3 users per workspace on Pro, outside HIPAA and PCI scope, and priced in credits whose conversion rates Workato doesn't publish. Budget for an enterprise quote if you need production scale, and read the renewal and True Up terms. We score Workato 8.3/10.
