    It depends mostly on how many people will log in. Free and Basic ($19 a month billed yearly, $25 monthly) are for very small apps: Free allows 5 app users in total and Basic 5 team and 5 client users. Pro ($99 yearly, $119 monthly) allows 10 team and 50 client users, custom user groups, Google sign-in, workflow webhooks and ClickUp, monday.com or Supabase data. Business ($329 yearly, $395 monthly) allows 30 team and 100 client users and adds HubSpot, Salesforce and SQL data sources, two-factor sign-in and an installable mobile app. Extra users on Pro and Business are billed monthly.

    Softr is a sensible way for a small team to put a secure portal or internal tool on top of data it already keeps in Airtable, Google Sheets or Notion, or in Softr's own database. Building with blocks and its AI Co-Builder is approachable, forms and apps are unlimited on every plan, and refunds are offered within 14 days on monthly and 30 days on yearly plans. The catch is the user limits: Basic allows only 5 team and 5 client users, so most client portals start at Pro, $99 a month billed yearly, and CRM and SQL data sources need Business at $329. Several Softr pages disagree on which plan includes features such as the mobile app, charts and conditional forms. We score it 8.5/10.

    What Is Softr?

    Softr is a no-code platform for building web apps such as client portals, internal tools, directories and simple CRMs. You connect a data source, such as Airtable, Google Sheets, Notion, Softr Databases or, on higher plans, HubSpot, Salesforce or SQL, then build pages from blocks such as lists, tables, forms, charts and Kanban boards. You set who can see and edit what with user groups and permissions, and automate tasks with Softr Workflows. An AI Co-Builder can generate pages, a database, permissions and workflows from a prompt, and AI agents and an MCP server work alongside. Apps run in the browser, and Business adds an installable progressive web app (PWA).

    Blocks and AI Co-Builder

    Pages are built from blocks such as lists, tables, forms, charts, calendars and Kanban boards. Softr's AI Co-Builder generates pages, a database, permissions and workflows from a prompt; AI features use monthly AI credits (5 on Free, 10 on Basic, 50 on Pro, 100 on Business), and building without AI still works when credits run out.

    Softr Databases

    Softr's own relational database has no API rate limits and imports from CSV or Airtable. Limits per workspace are 5,000 records on Free, 50,000 on Basic, 500,000 on Pro and 1 million on Business, with 1,000 to 200,000 records per database.

    A small agency moves its client list out of a spreadsheet into Softr Databases and builds a portal on top.

    Users, groups and permissions

    App users are split into team users, who share a business email domain with a builder, and client users, everyone else. Pro adds 3 custom user groups, advanced permissions, one-time email codes and Google sign-in; Business adds 10 groups and two-factor sign-in; Enterprise adds SSO and SCIM.

    A property manager gives each tenant a login that shows only their own maintenance requests.

    Workflows

    Workflows are on every plan and counted by actions: 500 a month on Free, 2,500 on Basic, 10,000 on Pro and 25,000 on Business. Workflows pause when you hit the limit. Webhooks and API steps start on Pro.

    When a client submits a request form, a workflow creates a record, emails the account manager and posts to Slack.

    Forms, payments and mobile

    Forms and submissions are unlimited on every plan. Stripe Checkout, Stripe's customer portal and PayPal are supported for one-time or subscription payments. Business adds push notifications and an installable PWA; Softr doesn't describe a native app.

    Airtable, Google Sheets, Notion and Softr Databases are shown on every plan. Softr caches external data for 24 hours, per its docs.

    Softr's pricing is driven by logged-in users more than by features. Basic's 5 team and 5 client users rule it out for most client portals, so the realistic starting point is Pro at $99 a month billed yearly. Pro and Business can add users: team users at $3 (Pro, up to 50) or $5 (Business, up to 100) and client users at $1 or $2 each, billed monthly even on an annual plan after a 7-day grace period. Extra builders cost $5 to $24 a month depending on plan and billing, and extra custom domains $13 to $15. Data sources are also plan-gated, with HubSpot, Salesforce and SQL only on Business. Softr offers 50% off for non-profits and education, and refunds within 14 days on monthly and 30 days on yearly plans.

    These are our calculations from Softr's published prices on October 10, 2026, not quotes. Taxes are not included.

    Calculation 1, an internal tool for 5 colleagues on Basic. $19 a month billed yearly ($228 a year), or $25 monthly.

    Calculation 2, a client portal with 8 team users and 120 client users on Pro. Pro includes 10 team and 50 client users, so add 70 client users at $1 = $70 a month: $99 + $70 = $169 a month on yearly billing, with the extra users billed monthly.

    Calculation 3, a partner portal on HubSpot data with 25 team and 100 client users. HubSpot needs Business, which includes both: $329 a month billed yearly ($3,948 a year), or $395 monthly.
