    Best CRM for Small Business

Eight CRMs for established small businesses, compared on what 5 or 10 seats really cost and which kind of business each one fits.

    Short answer

What is the best CRM for small business?

HubSpot is the best CRM for most small businesses: you can start free for 2 users, then move to Starter at $20 a seat list price with marketing, sales and service on one contact record. Choose Zoho CRM if cost per seat matters most (Standard is $14 a user billed annually, with calling and mass email), Pipedrive if your sales team works from a visual pipeline, and GoHighLevel if you're a service business or agency that wants funnels, SMS and booking for a flat $97 a month.

A small business CRM has a different job from a startup's first CRM. You already have customers, repeat work and probably a few people answering leads, so the CRM needs to capture enquiries, keep every email and call on the customer record, and stay affordable as you add seats. This guide ranks eight CRMs we have reviewed for established small businesses of roughly 5 to 50 people, using each vendor's published plans, limits and prices, checked on October 19, 2026. It is research, not hands-on testing, and affiliate status doesn't affect the order. Prices below are per user per month billed annually unless we say otherwise; monthly billing usually costs more.

    #1

    HubSpot

    All-in-one CRM · Free (2 users) / Starter $20/seat/mo list, promo from $7

    9.1

Start on the free CRM (2 users, 1,000 contacts, no time limit), then move to Starter, which lists at $20 per seat a month and bundles marketing, sales, service, content and data tools; HubSpot was showing a $7 new-customer price on October 19, 2026. The bill changes at Professional: Sales Hub Professional shows $90 a seat billed annually ($100 monthly) plus a required $1,500 onboarding fee.

    #2

    Zoho CRM

Budget CRM suite · Free (3 users); Standard $14/user/mo billed annually ($20 monthly)

    8.8

Standard ($14 per user a month annual, $20 monthly) includes email integration and mass email, built-in calling, multiple pipelines, web forms and sales forecasting. Professional ($23 annual, $35 monthly) adds AI agents, process management, inventory and quotes. There's a free edition for 3 users and a 15-day trial with no card. Zoho also sells Bigin, a simpler pipeline CRM, from $7 per user a month.

    #3

    Pipedrive

    Pipeline-first sales CRM · Lite $14/seat/mo yearly ($24 monthly); Growth $39 ($49 monthly)

    9.0

Deals move as cards across stages, which makes Pipedrive quick for a small team to adopt. Lite ($14 a seat annual, $24 monthly) has no two-way email sync, automations or sequences, so most teams should price Growth ($39 annual, $49 monthly). Premium ($59 annual, $79 monthly) includes LeadBooster for web forms and chat. There's no free plan, but a 14-day trial with no card.

    #4

    Nutshell

Small-business sales CRM · Foundation $13/user/mo billed annually ($19 monthly)

    8.6

Nutshell's pricing page lists webchat, an AI chatbot, a form builder, landing pages, email marketing capabilities and attribution reporting with every CRM subscription, plus free live support and no seat minimums or maximums. Foundation ($13 annual) caps you at 100 open leads; Growth ($25) adds activity reports, quotas and lead assignment; Pro ($42) adds sales automation, a meeting scheduler and 5 pipelines. 14-day trial, no card.

    #5

    GoHighLevel

    CRM + marketing automation · $97/mo (Starter)

    8.5

A flat $97 a month (or $970 a year) for unlimited users and contacts, with funnels, email, SMS and booking built in. That flat price is cheaper than per-seat CRMs once several staff need access, but calling, messaging and AI are usage-based extras, and the interface takes more setup than HubSpot or Pipedrive.

    #6

    Salesforce Starter Suite

Entry Salesforce · Free Suite (2 users); Starter $25/user/mo

    8.4

Starter Suite is $25 per user a month, billed monthly or annually, with email nurture campaigns, lead scoring, sales flows, lead routing and a connected Slack workspace. Free Suite covers 2 users at no cost. The step up to Pro Suite is $100 per user a month, billed annually on a contract, for quoting, forecasting and more customization.

    #7

    Close

Phone and email sales CRM · Solo $9/user/mo billed annually ($19 monthly)

    9.0

Close builds calling, SMS and email into the CRM from Essentials ($35 a user annual, $49 monthly). Solo ($9 annual, $19 monthly) is one user and 10,000 leads. Workflows, the power dialer and bulk email start on Growth ($99 annual, $109 monthly). Calling and SMS are billed at cost on top. 14-day trial with no card and a 30-day money-back guarantee.

    #8

    Salesflare

Auto-logging sales CRM · Growth $29/user/mo billed annually ($39 monthly)

    8.5

Salesflare syncs Gmail or Outlook and calendars, pulls details from email signatures and tracks opens and clicks from Growth ($29 annual, $39 monthly), so the CRM fills itself in. Multi-step email sequences start on Pro ($49 annual, $64 monthly). No free plan, but a 30-day trial with no card.

    Cost by team size

What a small business CRM costs for 5 and 10 users

Monthly cost at list prices billed annually, checked October 19, 2026, for the plan most small businesses would buy first. Usage-based calling and SMS, add-ons, onboarding fees and tax are extra. Listed in ranking order.

Nutshell is priced on Growth because Foundation caps you at 100 open leads. HubSpot's $7 Starter price is a new-customer promo with no published end date, so the table uses the $20 list price.

    By business type

Which CRM fits your kind of small business

The right CRM depends less on company size than on how customers reach you and who follows up. Match the CRM to the work your team does every day.

    • Marketing-led businesses that win leads from content, forms and email: HubSpot, because marketing, sales and service share one contact record.
    • Local and service businesses that book appointments and text customers: GoHighLevel's flat price covers funnels, SMS and booking for unlimited staff. Zoho's Bigin is a lighter option for a simple pipeline.
    • B2B teams with a few salespeople: Pipedrive for a visual pipeline, Nutshell if you want support and basic marketing tools included.
    • Inside sales teams on the phone all day: Close, with calling and SMS built in.
    • Owners who sell over email and won't update a CRM by hand: Salesflare, which logs emails, meetings and signature details for you.
    • Businesses that already run on Salesforce elsewhere, or sell to enterprises that expect it: Salesforce Starter Suite.

    Switching

Moving to a new CRM without losing customer history

Most small businesses arrive at a CRM from spreadsheets, an email inbox or an older tool. Clean the data before you import it: one row per company, one email address per person, and an owner on every open deal. Then reconnect each person's inbox, since email history usually comes back through sync rather than through a CSV import.

Run the old and new systems side by side for a couple of weeks, then switch the old one to read-only. Check your renewal date first, because annual plans rarely refund unused months.

    Buying guide

How to Choose the Right Tool

Start with how leads reach you. Form and email leads point to HubSpot or Nutshell; phone leads point to Close; appointments and texts point to GoHighLevel.

Price your real seat count. Per-seat CRMs add up quickly: ten users on Pipedrive Growth cost $390 a month billed annually, against a flat $97 on GoHighLevel.

Check what the entry plan leaves out. Pipedrive Lite has no two-way email sync and Nutshell Foundation caps open leads at 100.

Ask about fees beyond the seat price: HubSpot Professional onboarding ($1,500 for Sales Hub), usage-based calling and SMS on Close and GoHighLevel, and paid add-ons.

Use the trial with your own data. Import a few hundred real contacts and run a week of follow-ups before you buy annually.
