    Quick answer

What is GembaDocs, and is it worth paying for?

GembaDocs is SOP software for manufacturing and frontline work. Someone on the shop floor photographs or films each step and speaks the instructions, and GembaDocs turns that into a visual, step-by-step SOP, with AI to polish the text and translate it. It's worth it for plants, warehouses and service teams that train people on physical tasks and need document approval for ISO audits. It's a weaker fit for office teams that want training courses, quizzes and broad integrations. On October 14, 2026 plans were sold as user bundles: Lite $49 a month or $499 a year (2 users, 100 SOPs), Teams $99 or $999 (10 users), Premium $149 or $1,499 (20 users), Premium+ $249 or $2,499 (50 users) and Multi-site $499 or $4,999 (100 users). Every plan has a 30-day free trial.

    Best for
Manufacturing and frontline teams documenting physical processes with photos, video and voice.
    Skip it if
You need an LMS with courses and quizzes, deep integrations, or a vendor with round-the-clock support.
    Strongest capability
Fast visual SOP capture on a phone, with AI polish, TWI key points and ISO-style approval from Teams up.
    Biggest limitation
No integration directory (the API starts on Premium+), email-and-chat support from a four-person core team, and non-refundable fees.
    Current cost
$49 to $499 a month, or $499 to $4,999 a year, by user bundle; Skills Matrix from $49 a month.

    The Verdict

GembaDocs does one job well for its niche: getting process knowledge out of experienced operators' heads and into visual work instructions without a technical writer. Capture on a phone or PC, voice-to-text with AI polish, video-to-SOP, TWI key points and reasons, and one-click translation on Premium suit plants and warehouses with multilingual crews. Prices are public and simple, sold in user bundles with yearly prices roughly two months cheaper. The limits are scale and ecosystem: no integration directory, a public API only from Premium+, SSO on request at the top tier, ISO 27001 alignment but not certification, a deliberately small team, and terms that make every fee non-refundable. We score GembaDocs 7.7/10.

    The Background

    What Is GembaDocs?

GembaDocs Ltd is registered in Northern Ireland. Its founder, Tom Hughes, says the first GembaDocs were created in 2021 to solve a documentation problem at Lumen Electronics, and the company describes a four-person core team that stays small on purpose. Its homepage claims 27,000 users in 50 countries across 1,000-plus organizations; those are its own figures. A GembaDoc is a visual SOP: each step pairs a photo or video with short text and can carry TWI (Training Within Industry) key points and reasons why. You create them in the mobile or PC apps or a Chrome extension, by typing, speaking or recording video, and AI turns voice and video into written steps. Plans add tagging and an ISO-style approval process (Teams), translation and branding removal (Premium), two-level approval and an API (Premium+), and multiple sites (Multi-site). A Skills Matrix module tracks who is trained on what.

    The Product

GembaDocs Features: What You Actually Get

Visual SOP capture with voice and video

Operators capture each step with a photo or video on a phone or PC and speak the instruction; GembaDocs converts voice to text with AI polish for grammar and clarity, and can turn a recorded video into written steps. Advanced or video SOPs are counted separately (10 on Lite up to unlimited on Multi-site).

A line lead films a machine changeover once and gets a step-by-step SOP new starters can follow on a tablet.

    ISO-style approval and TWI

Teams and above add a document approval process aimed at ISO audits, and Premium+ adds two-level approval. Every plan includes the TWI option for key points and reasons why, a format used in manufacturing training.

A quality manager requires sign-off from a supervisor and QA before a revised SOP goes live, ahead of an ISO 9001 audit.

    Translation for multilingual crews

Premium and above include one-click translation. The help center lists 21 interface languages and 28 translation languages by our count, and an SOP can show up to three languages at once.

A food plant shows each SOP in English, Polish and Portuguese side by side for its shift teams.

    Skills Matrix

A Skills Matrix bolt-on, from $49 a month for 50 associates, tracks who is trained on which SOP and includes AI-generated assessments, so supervisors can see gaps before scheduling a shift.

A warehouse manager checks which pickers are signed off on the new forklift procedure before peak season.

    GembaDocs Pricing: Every Plan Explained

GembaDocs sells plans as user bundles. These are its US prices on October 14, 2026; the yearly price is paid upfront and costs about ten times the monthly price.

    PlanMonthlyAnnualIncluded FeaturesBest For

GembaDocs' pricing is easy to model because it's published and bundled: pick the plan whose user count and SOP limit fit, then decide whether you need approval (Teams), translation (Premium) or the API (Premium+). Paying yearly costs about ten months' fees. Per user, the bundles get cheaper as they grow, from $24.50 a month on Lite to about $5 on Multi-site. Every plan starts with a 30-day free trial and no card. The terms (updated September 4, 2026) say fees are non-refundable, subscriptions renew automatically with seven days' notice, cancelling stops the next renewal and keeps access to the end of the term, and price changes apply at renewal. On-premise deployment is priced on request.

    Security, support and company size

GembaDocs' trust center says it has a SOC 2 Type II examination (report under NDA), is aligned with but not certified to ISO/IEC 27001:2022, hosts on AWS with backups on Google Cloud, runs quarterly penetration tests and offers a 99.5% uptime SLA. SAML SSO is for enterprise customers.

Support runs through a help center, an AI chat assistant and email; the contact page says primary sales and support are in UK English and lists no phone line or response times. The about page describes a four-person core team that stays small on purpose, which matters if you're rolling out across many plants.

The terms page on getgembadocs.com points to the full terms on gembadocs.com, whose header says they were updated in September 2026 while the footer still reads 2025. The 30-day trial appears on the pricing page but not in the terms.

    In The Wild

    How People Actually Use GembaDocs

    A 40-person machine shop

Teams ($99 a month or $999 a year) covers 10 users who write SOPs, with ISO-style approval. Viewers on the floor should be confirmed with GembaDocs, since plans are sold by user count.

A food plant with three languages on shift

Premium ($149 a month or $1,499 a year) adds one-click translation and shows up to three languages per SOP.

    A manufacturer with two plants

Multi-site ($499 a month or $4,999 a year) covers 100 users and 2 sites; SSO, analytics and more sites are quoted.

    The Ecosystem

    GembaDocs Integrations

GembaDocs runs through its own apps; it doesn't publish an integration directory.

    • →Mobile and PC apps
    • →Chrome extension
    • →Public API (Premium+ and Multi-site, daily call caps by plan)
    • →SAML SSO for enterprise customers

There's no list of native integrations with HR, LMS or quality-management systems; the API is the route for connecting other tools, and it starts on Premium+.

    The Final Word

    Should You Use GembaDocs?

    7.7/10 Score

GembaDocs is a focused, fairly priced way for manufacturing and frontline teams to turn tacit know-how into visual SOPs, with TWI, ISO-style approval and translation where those teams need them. Its small team, thin integration story and non-refundable terms make the 30-day trial the place to prove it before committing. We score GembaDocs 7.7/10.
