Operations software for a small or mid-size business usually covers five jobs: documenting how work gets done (SOPs and training), keeping a searchable wiki, managing recurring projects and tasks, running checklists that someone has to complete and sign off, and automating the handoffs between apps. Most teams also need forms to collect requests and inspections. No single tool does all of this well. A common stack is a wiki or SOP platform, a work management tool, an automation layer and a form builder. This guide is for founders, operations managers and team leads at companies of roughly 5 to 500 people, not for manufacturing ERP or supply-chain planning. We ranked tools by fit for that buyer: how well each one handles its operations job, how quickly a team can adopt it, and how pricing scales with headcount. Every price was checked on the vendor's own pricing page on October 8, 2026, with annual and monthly billing listed separately. Two tools here, Trainual and Process Street, don't publish prices, and we say so rather than guess.

Trainual combines SOP documentation with training assignments, tests and completion reporting, so you can see who has learned which process. Core includes AI-assisted documentation, flowcharts, group-based training and knowledge search. Pro adds individual training paths, video hosting with searchable transcripts, an org chart and 300 e-signatures a year. Premium adds SSO and custom branding. Trainual doesn't publish prices: plans are quoted by team size, and new customers pay a one-time $1,000 implementation fee. Trainual says it is best suited to companies with 25 to 1,000 employees.

Notion is a flexible workspace for docs, wikis and databases, which makes it a cheap way to build a process library that links to projects and owners. It has no built-in training tests or completion tracking, so it suits teams that need documentation more than formal onboarding. Plus costs $10 per member a month annual or $12 monthly. Business ($20 annual, $24 monthly) adds Notion Agent, AI meeting notes, SAML SSO and page verification, which helps flag which SOPs are current. Custom agents use credits at $10 per 1,000.
ClickUp

ClickUp covers tasks, docs, whiteboards, forms and automations in one workspace, so operations teams can keep recurring work and its instructions side by side. The free plan has unlimited tasks and members but tight limits: 60MB of storage, 1 form and 100 automation runs. Unlimited costs $7 per user a month annual or $10 monthly, and Business $12 annual or $19 monthly. AI is extra: Brain AI is $9 per user a month and Everything AI is $28. Expect setup time, since ClickUp has many settings.

monday.com organizes work on visual boards that non-technical teams pick up quickly. Paid plans start at 3 seats. Basic costs $9 per seat a month annual or $12 monthly, but automations, integrations and timeline or Gantt views start on Standard ($12 annual, $14 monthly), with 250 automation actions a month. Pro ($19 per seat annual) raises that to 25,000 actions and adds private boards. The free plan covers up to 2 seats and 3 boards, which is enough to test a workflow but not to run one.
Zapier

Zapier connects the tools above to the rest of your stack: a form submission can create a task, a signed contract can start an onboarding checklist, and a new hire can be added to Trainual or Notion. The free plan gives 100 tasks a month and two-step Zaps only. Pro starts at $19.99 a month annual or $29.99 monthly for 750 tasks and allows multi-step Zaps. Team starts at $69 a month annual or $103.50 monthly for 2,000 tasks. Price climbs with task volume, so estimate monthly runs before you buy.
Process Street
Checklist workflows · Quote-based (Startup, Pro and Enterprise; no public prices)
Process Street turns SOPs into checklists that someone runs, completes and gets approved, which suits audits, client onboarding and month-end tasks better than a static doc. Approvals and conditional logic are on every plan. The Startup plan is for businesses under 15 employees and under $2 million in revenue and includes 5 users, 10 guests and 100 automation actions a month. Pro and Enterprise have custom limits. Process Street showed no dollar prices on October 8, 2026, so you'll need a sales call. There's a 14-day Pro trial with no card required.
GembaDocs
Visual SOPs for frontline teams · Lite $49/mo or $499/yr for 2 users
GembaDocs builds step-by-step visual SOPs from mobile and desktop apps, with voice capture that it says AI then polishes. A TWI (Training Within Industry) option on every plan, ISO-style document approval from Teams and a skills matrix add-on point it at manufacturing and frontline work. Pricing is published in USD by user bundle: Lite is $49 a month or $499 a year for 2 users and 100 SOPs, Teams is $99 a month or $999 a year for 10 users and 250 SOPs, and Premium is $149 a month or $1,499 a year for 20 users and 500 SOPs. Premium+ ($249) and Multi-site ($499) cover 50 and 100 users. The skills matrix starts at $49 a month for 50 associates, and every plan has a 30-day trial.

Jotform is a form builder that operations teams use for requests, inspections, incident reports and intake, with integrations that pass submissions into task tools. The free Starter plan allows 5 forms and 100 submissions a month with Jotform branding. Bronze costs $34 a month annual ($408 a year) or $39 monthly for 25 forms and 1,000 submissions. Silver is $39 annual or $49 monthly for 50 forms and 2,500 submissions, and Gold is $99 annual or $129 monthly for 100 forms and 10,000 submissions.

How to Choose the Right Tool
Start with the job that hurts most. If new hires keep asking how things are done, start with SOPs and training. If work slips through the cracks, start with task management. If people copy data between apps, start with automation.
Decide whether you need proof of training. Trainual tracks completion and runs tests. Notion and ClickUp docs don't. If compliance, franchise standards or client audits depend on it, pay for the tracking.
