    Quick answer

What is SoftSync, and is it worth paying for?

SoftSync is a B2B CRM from SoftSync AI Inc. for startups and small teams: custom records and pipelines, synced email and campaigns, booking pages, a desktop meeting recorder, an AI Assistant and plain-language automations called Autopilot. Its central feature is an MCP server, included on every plan, that lets Claude, ChatGPT and other MCP clients search and change CRM records as you, within limits you set. It's worth paying for if your team already works in Claude or ChatGPT and you'd rather ask the assistant to update the CRM than type into it. Pro costs $29 per seat a month billed yearly ($39 monthly), and Business $59 ($79). Prices were checked on SoftSync's pricing page on October 13, 2026.

    Best for
Founder-led and small B2B sales teams of up to five people who sell over email and meetings and already use Claude, ChatGPT or Codex daily.
    Skip it if
You need a free CRM, more than five users at the entry price, a built-in phone dialer, or third-party security certifications today.
    Strongest capability
The MCP server: one URL added as a custom connector in Claude or ChatGPT, OAuth sign-in as you, a read-only mode and confirmations before changes, on every plan.
    Biggest limitation
Pro stops at 5 team members, 1 mailbox per user and 1,000 campaign emails per user a month. Moving past five people means Business at $59 a seat.
    Current cost
Pro $29/seat/mo yearly or $39 monthly; Business $59 or $79; Enterprise quoted. No free plan; SoftSync advertises a 14-day trial with no card up front.

    The Verdict

SoftSync is a young CRM built around one idea: your AI assistant should be able to work in the CRM, not just talk about it. The MCP server, included on Pro, Business and Enterprise, lets Claude, ChatGPT or Codex create and update records, search messages, write notes and run campaigns, signed in as you over OAuth and limited by read-only and confirmation settings. Around that sits a complete small-team CRM: custom objects, table, pipeline and calendar views, synced email and campaigns, booking pages, a bot-free desktop meeting recorder, reports, an AI Assistant and Autopilot routines you describe in plain words. The trade-offs are a 5-person cap on Pro, no free plan, fewer documented native integrations than established CRMs, and security badges that SoftSync itself labels as readiness rather than certification. We score SoftSync 8.3/10.

    Best for

Small B2B teams that already use Claude or ChatGPT every day and want those assistants to keep the CRM up to date.

    The Background

    What Is SoftSync?

SoftSync is a CRM made by SoftSync AI Inc., whose terms and privacy policy give a registered address in Wilmington, Delaware; the terms also name an EU (Stockholm) data region. SoftSync describes itself as a flexible B2B CRM for startups and small teams, simpler than enterprise CRMs and more structured than a spreadsheet. The core is a customer and sales workspace with custom record types, fields, stages and views. Around it are Email & Campaigns, Reports, booking pages (Schedule Meetings), a Chrome extension for saving people and companies while you browse, a Meeting Assistant desktop app for Mac and Windows, the SoftSync AI Assistant, an MCP server and REST API, and Autopilot for recurring jobs. The same company sells AnalystX, a separate product for funds and private-equity teams, which this review doesn't cover.

    The Product

SoftSync Features: What You Actually Get

MCP server for Claude, ChatGPT and other assistants

SoftSync runs an MCP server at api.softsync.ai/mcp/softsync. In Claude.ai or ChatGPT you add it as a custom connector under Settings, then Connectors; in Claude Code you run `claude mcp add --transport http SoftSync https://api.softsync.ai/mcp/softsync`. You sign in with your SoftSync account over OAuth, so the assistant sees only what you can see, and no API key is needed. SoftSync says the server loads written guidance on how its records work before acting, and that an assistant can create and query records, merge duplicates, search messages, write notes, send templated email, run campaigns and published workflows, and change table structure. You can keep it read-only, require confirmation before changes, or limit it to a narrow task. MCP access is listed on every plan.

A founder asks Claude to look up last week's eleven inbound form leads, write a short note on each company in the CRM and draft first emails, then approves the changes before anything is sent.

    Flexible records, pipelines and views

Records and custom objects let a team track customers and deals plus whatever else it sells around, such as investors, candidates, properties or partners, each with its own fields and stages, linked together. Records show in table, pipeline and calendar views, with notes, reminders, team roles and group permissions. Pro allows up to 250,000 records per table and 10 groups per workspace; Business allows 1,000,000 records and 100 groups.

An agency tracks client accounts, open proposals and partner referrals as three linked record types instead of three spreadsheets.

    Email sync and campaigns

Each user connects a mailbox so conversations stay on the customer record, and Email & Campaigns sends personal outreach with templates and automatic follow-ups. Pro allows 1 mailbox connection per user and 1,000 campaign emails per user a month; Business allows 5 mailboxes and 10,000 emails. SoftSync's integrations page points to specialist tools such as lemlist, Reply.io or Outreach for higher-volume sequencing.

A two-person sales team sends a 300-contact follow-up campaign from their own inboxes and sees replies land on each contact.

    Meeting Assistant without a bot

The Meeting Assistant is a desktop app for Mac and Windows that captures your microphone and system audio, writes a live transcript and an editable summary, and lets you attach the checked summary to a contact, company or deal. No bot joins the call. It works for online meetings, calls routed through your computer and in-person conversations near it; it doesn't dial phones itself.

An account manager records a renewal call on Google Meet, edits the summary's next steps, and files it on the deal.

    AI Assistant and Autopilot

The built-in AI Assistant answers questions about customers and deals from calls, email and records, cites the source, and can make the change you ask for. Autopilot handles recurring jobs: you describe one in a sentence, read the routine it builds (when it runs, what it checks, what it will do), and switch it on. Routines can start on a schedule, a record change, an inbox event or on demand, and every run is logged in plain sentences. SoftSync says it doesn't train models on workspace data. Pro includes 1,000 AI chats per user a month; Business 10,000.

A sales lead sets up a Monday routine that finds deals in Proposal with no reply for a week and reminds each owner.

    REST API

About sixty REST endpoints cover records, groups, views, notes, messages, email templates and campaigns, published workflows and the table schema. You authenticate with a personal API key created under Settings, API Keys, sent as an x-api-key header. SoftSync's advice is to use MCP when an assistant does the work and the API when your own code does. API access is included on every plan.

A developer syncs new product sign-ups into SoftSync as leads with a short script against the records endpoint.

    The Numbers

    SoftSync Pricing: Every Plan Explained

SoftSync sells two standard paid plans and a custom Enterprise plan, priced per seat. Both standard plans include the same features, including the AI Assistant, Autopilot, API and MCP access; what changes is capacity and support. Yearly billing saves about 25%. Prices below are SoftSync's USD prices from its pricing page, checked October 13, 2026; they exclude VAT, and the page also lists ten other currencies.

Business$79/seat/mo$59/seat/mo billed yearlyEverything in Pro, with up to 25 team members, 100 groups, 1,000,000 records per table, 5 mailboxes per user, 10,000 campaign emails and chats per user a month, 10,000 enrichment credits, and Priority Support for migration and setup plus a Workspace ConsultantTeams of 6 to 25
EnterpriseQuotedQuotedCustom team member, group, record, mailbox and usage limits, unlimited capacity for agreed requirements, custom integrations and Priority SupportLarger organizations

For a three-person team, Pro costs $87 a month billed yearly ($1,044 a year) or $117 billed monthly. The seat cap matters more than the price: a sixth user moves the whole workspace to Business, so six seats cost $354 a month billed yearly instead of $174 (our arithmetic from SoftSync's per-seat prices). Early-stage teams can ask about startup pricing, and SoftSync says there's no setup fee for help shaping the workspace. Paid plans renew automatically, and SoftSync's terms say fees are non-refundable except where the law or an order form requires otherwise, so use the trial before you commit.

    Claude integration

    How SoftSync works with Claude

SoftSync's Claude integration is its MCP server rather than a listing in Claude's connector directory. SoftSync's instructions are to add a custom connector in Claude.ai (Settings, then Connectors) pointing at https://api.softsync.ai/mcp/softsync, click Connect and sign in with your SoftSync account. In Claude Code, the same server is added with `claude mcp add --transport http SoftSync https://api.softsync.ai/mcp/softsync`. Any other client that supports remote MCP servers can use the same address.

The connection signs in as you over OAuth, so Claude sees only the records and messages your SoftSync user can see. SoftSync says you can keep it read-only, require your confirmation before changes, or give it a free hand on a narrow task, and that every action is written onto the customer record in plain sentences. An active SoftSync account is required.

Whether you can add custom connectors depends on your Claude plan and your workspace admin's settings, so check that on Anthropic's side before relying on it. The REST API is separate: it uses a personal API key and is meant for your own code rather than for an assistant.

    Read before you buy

    Where SoftSync's own pages differ

Free plan or trial: the homepage says "Start free, with plans that grow with your team" and the Agents page says "Start for free with a 14-day trial" with "no card up front". The pricing page lists only paid plans and says the checkout page shows any trial terms and whether payment details are needed. We read this as a 14-day trial, not a free plan.

Security badges: the Trust Centre shows ISO 27001 and SOC 2 Type II among its trust markers. The pages behind them say the "Ready" badge describes alignment and "does not represent completed certification" (ISO 27001) or "an issued report" (SOC 2 Type II). Ask SoftSync for documentation if your procurement needs an audit report.

Supported assistants: the AI Assistant page names Claude, ChatGPT and Codex; the Agents page FAQ names Claude, ChatGPT and Gemini. Both say any MCP client works.

Integrations: the Integrations page advertises "500+ integrations" through SoftSync's workflow engine, using APIs, MCP and automation. The Agents page FAQ says SoftSync deliberately has fewer integrations than an ordinary CRM, with email and calendar connecting directly. In practice, expect native email and calendar, the API and MCP, and other tools connected through workflows you configure.

    The Tradeoffs

    SoftSync Pros and Cons

    What we love

    • MCP server on every plan, with OAuth sign-in, a read-only mode and confirmations
    • Custom record types, so one workspace can track deals, partners or investors
    • Bot-free desktop meeting capture that files summaries on the record
    • Autopilot routines described in plain words, with a log of every run
    • Same feature set on Pro and Business; you pay for capacity, not features
    • SoftSync says it doesn't train models on workspace data

    What could be better

    • Pro caps a workspace at 5 team members
    • No free plan; fees are non-refundable after the trial
    • ISO 27001 and SOC 2 are 'Ready' badges, not certificates or audit reports
    • Fewer documented native integrations than established CRMs
    • 1 mailbox and 1,000 campaign emails per user a month on Pro
    • No built-in phone dialer

    The Audience

    Who Should Use SoftSync?

Best for: founders who live in Claude or ChatGPT

If you already draft emails and research leads in an AI assistant, SoftSync lets that assistant read and update the CRM directly, so the record stays current without a separate data-entry step.

Best for: small teams with unusual records

Teams that sell to more than one kind of contact, such as agencies, recruiters or real estate teams, can model each as its own record type with linked fields and stages.

Skip if: you're about to grow past five sellers

The Pro cap means a sixth seat moves everyone to Business at $59 a seat billed yearly. A team expecting to hire should price that against Pipedrive, Salesflare or HubSpot first.

    The Methodology

    How We Reviewed SoftSync

This is an editorial review, not a documented hands-on test. We didn't use a SoftSync account for this review. It's based on SoftSync's homepage, pricing page and plan comparison, its Agents, AI Assistant, Autopilot, Meeting Assistant and Integrations pages, the Trust Centre and its SOC 2, ISO 27001 and GDPR pages, its terms of service and privacy policy (both updated September 19, 2026) and its REST API documentation, all checked on October 13, 2026. We didn't sign in, so in-app limits and screens weren't checked, and we didn't connect the MCP server. Where SoftSync's pages differ, we report both statements. No data-accuracy, time-saving or revenue results are claimed.

Our editorial evaluation considers product information, official documentation, pricing, features and professional experience. It is not a claim of documented hands-on testing.

    In The Wild

    How People Actually Use SoftSync

A solo founder doing their own sales

Connect your inbox, add the MCP server to Claude, and ask it to log each prospect conversation and set reminders. Pro at $29 a month billed yearly covers one seat.

    A five-person agency

Model clients, proposals and partner referrals as separate record types, use booking pages for discovery calls, and file meeting summaries from the desktop app. Five seats fit on Pro; the sixth means Business.

    A small SaaS sales team

Push trial sign-ups in through the API, let an Autopilot routine remind owners about quiet deals each Monday, and send follow-up campaigns from each rep's mailbox within the 1,000-a-month Pro limit.

    The Ecosystem

    SoftSync Integrations

SoftSync connects email and calendar directly and leans on MCP, its REST API and a workflow engine for everything else.

    • →Gmail and Outlook email sync
    • →Calendar sync and booking pages
    • →MCP server for Claude, ChatGPT, Codex and other MCP clients
    • →REST API (about sixty endpoints, personal API keys)
    • →Chrome extension for saving people and companies
    • →Workflow engine for other APIs and MCP tools (Slack, Stripe, Notion, Zapier and more, per SoftSync)

SoftSync's Integrations page shows logos such as Slack, GitHub, Stripe, Notion, Airtable, Shopify, Google Sheets and Zapier as examples of platforms its workflow engine can connect, and links playbooks for pairing SoftSync with tools like Apollo, Lusha, lemlist and PandaDoc. It doesn't publish a list of ready-made native connectors, so confirm the specific integration you need during the trial.

    The Final Word

    Should You Use SoftSync?

    8.3/10 Score

SoftSync is one of the clearest examples of a CRM designed for AI assistants: the MCP server is on every plan, signs in as you and can be held to read-only or confirmed changes, and the rest of the product covers what a small B2B team needs, from flexible records and campaigns to bot-free meeting notes and plain-language automations. Its limits are just as clear: five users on Pro, no free plan, non-refundable fees, a short list of documented native integrations, and security badges that are readiness claims rather than audits. Start the trial, connect Claude or ChatGPT, and confirm the integrations you depend on before paying yearly. We score SoftSync 8.3/10.

    Yes, if

You're a team of five or fewer that already uses Claude or ChatGPT daily and wants it to keep the CRM current.

    No, if
